GUEST SERVICES COORDINATOR

Urban Bliss Wellness Spa is currently seeking a friendly, bright and motivated Assistant to work part time Fridays/Saturdays, and vacation coverage as needed.

We provide excellence in delivering our services, a high caliber of customer service in a professional, charming environment.  You will be responsible for supporting our existing Team with necessary administrative tasks, greeting guests, and embracing the business culture at Urban Bliss.  This position is not complex but does require a wide range of daily tasks necessary to maintain the harmony and operations of our operations and environment.

​Responsibilities: 

  • Managing an overseeing appointment bookings for RMT, Reflexologist and Spa Therapists 

  • Attention-to-detail and accuracy while processing invoices, payment and data entry on a daily sales

  • Greeting guests in a calm, professional manner

  • Offering assistance to guests with retail products (commissionable sales)

  • Perform miscellaneous tasks throughout the day such as cleaning and restocking, managing depleting supplies, laundry and other related duties 

  • Strong understanding of Gmail & Google tools

  • Manage & update website using WIX as needed (training provided)  

  • Social Media updates and marketing

  • Be able to work in a calm Spa/Wellness environment

  • Providing support to working Team

  • Keep the harmony and smooth operations of the business without constant direction and supervision.

  • Being able to follow protocol, take initiative and prioritize duties calmly while Therapists are in treatment

​Qualifications: 

  • Strong consideration for candidates with minimum 1 year experience in a Spa/Wellness industry or proven qualifications with minimum 1 year experience as a Client Services Specialist, MOA, or Office Assistant

  • Confident and comfortable using technology

  • Clear understanding of on-line appointment booking systems - JaneApp and Timely (training provided)

  • Consistently apply critical thinking skills & attention to detail

  • Professional writing skills and excellent verbal communication 

  • Experienced in organizational, interpersonal and listening skills 

  • Use of practical judgment and ability to utilize resources to apply basic reasoning skills with unique situations

  • Strong understanding (or willingness to learn) Gmail & Google tools (example: Gmail, G-calendar, Google Drive, and other Google organizational tools)

  • Ability to process high volumes of work calmly, efficiently and accurately 

  • Ability to prioritize, with an emphasis on following through with tasks and meeting deadlines

  • Must be able to follow existing business operations

The successful candidate will be mature with a strong understanding of small business needs in the Spa & Wellness sector.  You enjoy helping clients, taking initiative, and being a positive Team member in a professional and friendly work environment.  This is a great opportunity for the right candidate who has excellent critical thinking skills, can remain focussed and work calmly, with the emphasis on following simple directions without constant supervision.  Strong understanding of online appointment bookings, basic computer knowledge and the ability to embrace this opportunity to learn until mastering the job details, are required.

Starting salary: $18.00 - $21.00 per hour​ (depending on experience)
